Best PSA software for IT consulting firms: summary & key takeaways
What a PSA does: A PSA, or professional services automation platform, connects engagements, resourcing, time and financials so you see margin while delivery runs.
How to choose: Buy for the model that earns most of your revenue, then check the PSA reaches hours logged in Jira.
What's inside: Seven tools with verified October 2026 pricing, plan gating, a decision table and a worked example.
The best PSA software for IT consulting firms shows whether you’re making money on the type of work that brings in most of your revenue. Most roundups use one checklist, yet your firm probably sells three models at once. Fixed-fee implementations, time-and-materials (T&M) or staff augmentation, and managed-service retainers each lose margin in a different place.
Before I moved in-house to Teamwork.com, margin on the accounts I ran only became visible after the fact. My tools were a basic time tracker and a set of spreadsheets, with no single source of truth. That taught me to judge any PSA on one question: does it show margin while you can still change who's staffed?
Data quality decides whether that margin view is real, and SPI Research's 2026 Impact of AI on Professional Services report puts a number on it. Firms with highly ready data report project margins of 43.6% vs. 35.2% for firms whose data is not ready or fragmented. With three commercial models, fragmented data means three sets of numbers.
Below are seven PSA platforms, each matched to the billing model it suits best. Teamwork.com is our own product, so we’ve listed it first.
What is PSA software for IT consulting firms?
PSA software connects engagements, people, time, rates and budgets, so a firm sees what each engagement costs and earns. For an IT consulting firm, it turns hours logged in the engineers' tracker into realization, utilization and margin. For the basics, see what PSA software is.
A PSA for a mixed portfolio should answer four questions without a spreadsheet:
Which fixed-fee SOWs have burned more budget than the work completed?
How many T&M hours were logged but never billed, or written off?
Which retainers used more hours this month than the fee covers?
Who's free next month, by role and day rate, across every engagement?
How we selected these tools for IT consulting delivery
Those four questions shaped every criterion. We built the shortlist from public product information, pricing pages, documentation and verified reviews, not hands-on testing. Tools that don't hold rates, budgets or invoices were left out.
I weighted change control as heavily as time capture. Extra requests regularly landed inside the agreed fee, with no way to recover the cost. A PSA that can't record a change against the SOW repeats that problem across every engagement.
Fixed-fee control: Estimate versus actual hours and cost per workstream, mid-engagement, with changes recorded against the SOW.
T&M realization: Role-based rates, timesheet approvals and unbilled or written-off hours per engagement.
Retainer usage: Hours used per monthly allowance, and margin per retainer.
Engineering-tracker bridge: Jira or ticket-queue time reaches the engagement budget without re-keying.
Capacity by role: Forward bookings across concurrent engagements, so you can staff an SOW before signing.
Stack fit: CRM and accounting connections, so pipeline and the ledger stay put.
Plan gating: The tier that includes resourcing and financials, which entry prices rarely cover.
This list of PSA software for consultants weights these criteria by engagement model. Implementation-led firms should read PSA software for implementation teams, and advisory-led firms PSA for consultancies.
Seven PSA platforms for IT consulting firms at a glance
Teamwork.com handles all three engagement models in one platform, with financial budgets and profitability on Optimize. The other six lean toward one or two; prices show entry tiers unless noted.
Tool
Teamwork.com
Teamwork.com is the agentic PSA for IT consulting firms that run fixed-fee, T&M and retainer engagements together. It suits 50- to 500-person firms that want one margin view without replacing their CRM or ledger. Each engagement carries its own budget, so a client's fixed-fee build, T&M SOW and retainer report margin together.
Best features:
Time logged against the engagement: Consultants log billable and non-billable time to tasks, and approved hours feed the budget and the invoice.
)
Capacity across engagements: The Workload Planner shows each person's booked hours across engagements, so you see who's free before the next SOW.
)
Margin per engagement: The Profitability Report shows revenue, cost and margin by engagement, and the AI Profitability Forecaster projects where margin will land.
)
Every account in one list: The clients view lists every account, so you can open one and review its engagements.
)
Supervised AI Teammates: Flo checks project health and drafts client updates, Scout catches you up, and you review every draft.
)
Limitations: Financial and multi-currency budgets, profitability insights, role- or skill-based scheduling and quotes sit on Optimize, which is custom-priced. Accelerate covers workload planning, retainers and invoicing from logged time.
Pricing:
Free: $0/user/month (maximum 5 users, up to 5 projects)
Basics: $9.99/user/month (billed yearly, minimum 3 users)
Accelerate: $24.99/user/month (billed yearly, minimum 5 users)
Optimize: Custom pricing (book a demo)
Enterprise: Custom pricing (adds SSO, advanced security and a dedicated success manager)
Teamwork.com holds a 4.4/5 rating on G2 from 1,214 reviews, as of October 2026. One IT services project manager put it this way:
"Time tracking, budgets, workload planning, and profitability are all part of the daily workflow instead of feeling like features that were bolted on later." — Omar S., Project Manager, G2
Kantata
)
Kantata is a dedicated PSA built around resource management for larger services firms. It suits IT consulting firms where T&M and staff augmentation dominate and consultants are staffed onto client SOWs from a shared bench.
Its resource management matches people to work based on scope, scheduling, skillsets and availability. That's the core job when revenue depends on placing the right engineer at the right day rate.
It also lists prebuilt connectors, secure APIs and built-in MCP support. Its site shows a won deal creating a project and assigning resources, useful when SOWs close faster than you can staff them.
Utilization averages on my accounts hid who stayed late and who left on time. In a Kantata demo, I'd ask to see utilization person by person across engagements, because the imbalance is what burns people out.
Limitations: Kantata doesn't publish pricing, a free trial or a seat minimum, so expect a sales cycle before comparing cost. Its depth suits large resource pools, and a firm of 60 people should check how much configuration it really needs.
Pricing:
All plans: Custom pricing (quote through Kantata's PSA Advisors)
Productive
)
Productive fits IT consulting firms whose revenue leans on managed-service retainers and whose engineers live in Jira. Its Jira time tracking add-on keeps entries in sync, so a time entry updated in Jira also updates in Productive.
Recurring budgets automate retainer management and create draft retainer invoices automatically. Invoices sync to Xero, QuickBooks Online and other accounting tools, with payments syncing back. Productive also supports manual revenue recognition on fixed-price services, and Professional adds billable time approvals for T&M sign-off.
Limitations: Resource planning starts on Essential, but rate cards, skills and recurring budgets need Professional. Revenue forecasting and the Scenario Builder sit on Ultimate, which is now quote-only. The retainer and role-based rate features that matter most here start above the entry price.
Pricing:
Essential: $10/user/month (billed yearly; $12 billed monthly)
Professional: $25/user/month (billed yearly; $29 billed monthly)
Ultimate: Custom pricing (book a demo)
Every plan has a free 14-day trial with no credit card and a minimum of 3 seats. For a firm whose T&M engineers already track work in Jira, the time sync is the first thing to test.
Scoro
)
Scoro suits fixed-fee IT consulting firms that want quoting, delivery and invoicing in one system. It sells modular core apps (Do, Deliver, Track, Resource, Sell, Estimate, Spend and Invoice) in combinations.
Quote to Cash joins Estimate, Deliver, Track and Invoice, and the Invoice app handles prepayment, recurring and partial invoicing for milestone billing on fixed-fee SOWs. Retainer management sits in Deliver. Integrations include Jira, Salesforce, HubSpot, QuickBooks, Xero and Sage Intacct, each tied to an app or sold as an extra.
Limitations: Quoted versus actuals, the report fixed-fee firms need most, requires the Advanced Financials or Advanced Work add-on, as do WIP, revenue recognition and multi-currency. Resource planning needs the Resource app, and the customer portal is a paid extra. Every combination has a minimum of 5 users.
Pricing:
Time-billing (Track and Invoice): $17/user/month (billing cadence not stated)
Projects & Resources: $29/user/month (billing cadence not stated)
Quote to Cash: $29/user/month (billing cadence not stated)
End-to-end (all 8 apps plus Advanced Work and Advanced Financials): $57/user/month (billing cadence not stated)
Annual billing saves 13–17%, and the free 14-day trial needs no credit card.
Rocketlane
)
Rocketlane is built for client-facing delivery, with a branded customer portal, customer approvals and CSAT at milestones on every plan. It suits fixed-fee engagements where the client signs off each deliverable and expects progress without chasing a status email. Standard covers that collaboration, but all resource and financial management starts at Premium.
Jira, HubSpot and Slack integrations and a Rocketlane MCP come on Standard, so engineers keep their tickets while clients see milestones. Premium adds resource planning, auto-allocation, utilization tracking, flexible billing options, rate cards, revenue recognition, invoicing and Salesforce. In a demo, check whether a client's extra request becomes a costed change against the SOW, or just another approved task.
Limitations: Soft allocations, a skills matrix, multi-currency and multi-budget are Enterprise only, which matters if you run T&M and retainers alongside fixed fee. Nitro AI agents are sales-led add-ons, AI Fills is a paid add-on, and Resourcing Agents are listed as coming soon.
Pricing:
Standard: $49/user/month (billed annually, minimum 5 team members)
Premium: $69/user/month (billed annually, minimum 5 team members)
Enterprise: Custom pricing
AI Fills add-on: $29/user/month
BigTime
)
BigTime centers on time, billing and invoicing. It suits IT consulting firms where T&M and staff augmentation drive revenue and invoice accuracy is the first priority.
Its dashboard puts billability next to unbilled WIP and draft and finalized invoices, which covers most of the realization question for hourly staff augmentation. If fixed-fee work is a growing share, price Premier, which also adds custom cost and rate management.
Essentials covers time and expense, project portfolio management, billing and invoicing, a QuickBooks integration and an AI assistant. The BigTime Quotes add-on supports T&M, fixed-fee and item-based billing models. Advanced adds custom reporting, a self-service client portal and DCAA support for firms with government contracts.
Limitations: Jira and Salesforce need Advanced or higher, and project budgeting needs Premier. Resource management is a separate add-on module with AI-powered staffing recommendations, skills and a heat map. Only Essentials shows a price, and Time Agent and Expense Agent are listed as coming soon.
Pricing:
Essentials: From $20/user/month (billing cadence not stated)
Advanced: Custom pricing (request a demo)
Premier: Custom pricing (request a demo)
Enterprise: Custom pricing (speak with an expert)
Accelo
)
Accelo is designed to run fixed-fee projects and ongoing retainers side by side in one tool. That fits IT consulting firms whose managed-service retainers and fixed-fee builds earn similar shares of revenue.
Its AI-guided capacity planning forecasts gaps before they reach the delivery schedule. It reports which clients, projects and retainer agreements actually make money. It now carries Forecast branding, so ask which product holds each capability.
In a demo, ask to see a retainer and a fixed-fee build for the same client in one profitability view. Check hours used against the retainer allowance too, since that's where a mixed portfolio over-services. T&M and staff augmentation are less central to its pitch, so test rate handling if hourly SOWs are a large share.
Limitations: Accelo is quote-only, requires a minimum of 15 users and shows no free trial. Its Jira, QuickBooks and Salesforce connections weren't verified for this review, so confirm them against your stack in the demo. Its pricing page cites customer results on revenue leakage; treat those as vendor claims and ask for IT services references.

All plans: Custom pricing (minimum 15 users)
Buy for the engagement model that earns most of your revenue
Every tool above handles at least one commercial model well, so your revenue split decides the best PSA software for IT consulting firms. Pull last year's revenue by model, then make each vendor prove that model's report.
Dominant model
If one model earns 60% or more of revenue, test that model first and treat the rest as tiebreakers. If staff augmentation passes a third of revenue, start with timesheet approvals and rate cards, because that’s where write-offs start.
Under 15 users, Accelo’s minimum rules it out. Managed services built on ticket queues and SLAs need an MSP-style PSA instead.
The same slip costs different amounts in each model. Take an illustrative firm with $12M in revenue: $6M fixed fee, $4M T&M at full realization and $2M retainers. Delivery cost is 65% of revenue throughout ($7.8M, a 35% margin), and each model slips 10%.
Fixed-fee hours run 10% over, adding $390,000 of cost, and 10% of T&M hours go unbilled, cutting $400,000 of revenue. Retainers absorb 10% more hours than the fees cover, adding $130,000.
Margin falls to about 28%, and each leak sits in a different report: budget burn, realization and retainer usage. Before the demos, run your own numbers in the utilization rate calculator.
AI adds a leak no realization report catches. I’ve built AI into status updates and reporting in my own role, with a person reviewing every output, and the admin shrank while the effort moved to review. On a T&M workstream, that saving comes straight off the invoice, so realization looks perfect while billed revenue falls. Moving that repeatable work to fixed or outcome-based fees only works if your PSA shows what comparable engagements cost.
If your ledger can’t split revenue by commercial model, tag last year’s invoices by SOW type first.
Why Teamwork.com stands out for IT consulting firms
Teamwork.com runs fixed-fee, T&M and retainer engagements in one platform, so budget burn, realization and retainer usage land in the same margin view. Project tools can't manage the money, and teams resist traditional PSAs; Teamwork.com gives you PSA-grade financials in a platform your engineers will actually log time in. Your CRM keeps the pipeline and your finance system keeps the ledger, so the revenue split you tagged becomes a live report.
Catch fixed-fee drift while you can still re-scope: Fixed fees slip one estimate at a time, and closing reports come too late. The Profitability Report compares logged hours and cost with each engagement's budget, while the AI Profitability Forecaster projects where margin will land. You see the overrun forming, with time left to re-scope the remaining workstreams or raise a change order.
Bill every hour a T&M SOW allows: T&M realization slips at the timesheet, where unreviewed hours rarely reach an invoice in full. Time tracking records billable and non-billable hours against the task and engagement, approvers sign them off, and approved billable time builds the client invoice. Before the invoice leaves, you can check realization per engagement and chase any missing hours.
Keep retainers inside the fee: Over-servicing hides in averages, so a retainer looks healthy until you see one senior engineer carrying it. The Workload Planner shows each person's booked hours across retainers and concurrent engagements, and the Utilization Report shows billable time by person. You can rebalance the work before anyone burns out, or bring usage data to the renewal conversation.
OIC Advisors consolidated budget reporting, portfolio dashboards and time tracking in Teamwork.com, replacing PowerPoint, Excel and Microsoft Project. The IT services firm now reports 100% transparency in billing hours and budgets.
Whichever model earns your revenue, price the next SOW from what the last comparable engagement cost.
